This isn't just an update; it's a complete reimagining of the platform you rely on. After more than two years of dedicated development, we have rebuilt Indema from the ground up, incorporating every lesson learned from previous versions to create a faster, more powerful, and incredibly intuitive experience.

Indema 4 is built on a completely redesigned architecture with new, high-performance servers. The user interface has been overhauled to be cleaner and more user-friendly, and we've packed it with a host of new features designed to streamline your workflow and empower your business.

We've transformed the dashboard from a complex screen into a streamlined command center. Now, the most important parts of your business—recent activity, active projects, your personal schedule, and a unique to-do list—are all available at a glance.

Communication Hub: The All-New Chat Module

Simple messaging is a thing of the past. Indema 4 introduces a full-fledged communication hub with features designed for collaboration:

• File Sharing: Easily share files with employees and clients directly in the chat.

Your client relationships are everything, so we redeveloped our Contacts module from the ground up.

• Private Notes: Keep internal notes on each contact, visible only to your organization.

• Full Activity Log: See a complete history of your contact's actions within their client portal.

• Financial Management: Request retainers, track account credits, and apply credits directly to invoices.

A More Flexible Calendar

Our rebuilt Calendar module helps you stay on top of your schedule with ease.

• Multiple Views: See your schedule in a List, Month, or Day view.

• Events & Reminders: Easily add events and set reminders so nothing falls through the cracks.

• Coming Soon: A full integration with Google Calendar.

Projects: Smarter and More Personal

We focused on making the project dashboard simple, powerful, and a little more fun.

• See client information, a 7-day activity log, and key financial data like the project budget, all in one place.

• Control client portal access on a per-project basis.

• Fun Fact: Add your client's birthday to their contact profile. When they log in within three days of their birthday, they'll be greeted with a shower of confetti wishing them the best!

Task Management, Evolved

Tasks have been re-engineered for better project planning and will receive another major update soon after launch. In this initial release, you can:

• Create milestones and assign tasks to them.

• Set a milestone charge and payment schedule that automatically generates invoices on due dates.

• Add detailed checklists, comments, notes, and files to every task.

• Tag users and assign tasks to multiple employees.

• View a full activity log for every task.

FF+E: Sourcing Made Simple

The FF+E module has received significant upgrades to make sourcing and specification easier than ever.

• Brand New Web Clipper: Our new, free Google Chrome extension makes capturing product information a breeze.

• Organize items with attachments and set sub-items under a core item.

• Set different internal and customer-facing names for products.

• Calculate profit for each item, apply discounts to the MSRP, and add landed fees.

• Easily send an RFQ to a specific sales rep.

• Coming Soon: Shareable PDF spec sheets and web links for the products you're sourcing.

Timelogs & Timer

We’ve added more intelligence and flexibility to time tracking.

• Mark entries as billable or non-billable.

• See the payment status (paid/unpaid) and linked invoices for each entry.

• Smart Timer: Our new timer can detect idle time and let you decide what to do with it. Track time against specific tasks and set its billable status on the fly.

Invoices & Estimates: The Biggest Upgrade Yet

This module received the most significant changes in Indema 4, packed with features you’ve been asking for.

• Client Activity: See if a client has viewed an invoice or estimate right from the list view.

• Effortless PO Creation: Generate vendor-specific purchase orders automatically from an approved invoice.

• Financial Clarity: View balances, connected documents (like POs), and refund items directly.

• Automation & Customization: Set automated payment reminders and create custom email templates.

• Total Flexibility: Edit invoices even after a partial payment, set custom payment schedules, add processing fees, and attach files.

• Enhanced Approvals: Clients can now approve or decline individual line items on estimates, and e-signatures are now required on both invoices and estimates.

Purchase Orders: Unprecedented Control

Managing your POs is now more transparent and efficient.

• See if a vendor has viewed your PO email.

• Track damage issues and communicate them to your vendor from inside Indema.

• View connected invoices, track payments made, and see balances due.

• Set the status of individual items within a PO (e.g., Ordered, Shipped).

Expenses Reimagined

We’ve added a new layer of control and oversight to expense tracking.

• Submit expenses for admin review.

• Draft expenses before submitting.

• Easily view paid expenses and historical data.

• Proposals: A brand new module for sending detailed proposals—complete with task costs, milestones, and e-signatures.
